Once the quote is submitted, a detailed PDF copy is generated and sent automatically to both the client and our office, serving as the first formal record in the notarial process.

After a quote is accepted, the Notary Contract module takes over. This tool automatically pulls all relevant data from the quote — including client information, pricing, and service details — and generates a formal service agreement. The system ensures that every engagement complies with legal standards and reflects the agreed-upon terms, minimizing manual input and reducing errors. Each contract can be digitally stored, emailed to the client, and downloaded for recordkeeping. This automation not only saves time but reinforces our commitment to accuracy and professional accountability.

3. Notary Journal: Secure Recordkeeping and Client Collaboration

At the core of NotaryApp lies the Notary Journal, a powerful and secure system that documents every transaction in compliance with notarial best practices. While not mandatory in Florida, maintaining a complete and organized log is essential for credibility, traceability, and legal defense in the event of any challenge.

Each journal entry records detailed information about the document type, date, signers, witnesses, and method of identification — ensuring every notarization can be traced and verified.

One of the most innovative features of the Notary Journal is the Share Link function. After completing a notarial act, the system can generate a time-limited (60-minute) secure link that allows the client’s contact person — such as an attorney, title agent, or assistant — to review the details of the notarization online. This feature provides instant access to key information while maintaining strict data privacy and control. After the time window expires, the link automatically becomes inactive, ensuring the confidentiality of our clients’ records.
